How to manage your operations with Sercom
Sercom is designed to organize the operations of your specialized services business from the moment a client requests it, all the way to invoicing.
You can choose to start the workflow at any stage at any time. Here are some popular examples.
Request » Submission » Job » Invoice
Used mainly for larger-scale projects requiring more than 4 hours of work.
- A client requests your services but requires an on-site assessment for measurements or photos. You will then begin with the Request, which allows you to schedule an appointment with the client and add the necessary information to prepare the quote.
- Once you have your information, you can convert your request into a quote (learn more about conversions). You will then be able to prepare your price and send the quote to your client for approval, if necessary.
- Once confirmed, you can convert it into a Job and plan with your team, collecting information, photos and images while the work is being done.
- Once completed, you can convert it to an invoice to bill the client.
Request » Job » Invoice
Useful for maintenance or repair, but requires more time and a new work plan following an assessment.
- A client requests a fairly simple job, but requires a preliminary assessment to properly diagnose the problem. We begin with a Request for Proposal to plan and gather the necessary information.
- Once the diagnosis is confirmed on site, the Request will be converted into an official Job to plan the work to be done, without necessarily going through a tendering process.
- Finally, the invoice is created when the work is completed.
Request » Invoice
Useful for repairing machinery (air conditioning systems, water heaters, etc.).
- A customer has submitted a claim regarding a machine malfunction. You are almost certain of your diagnosis and are scheduling an assessment.
- During the assessment, you are able to correct the problem on-site, on the first visit. All that remains is to invoice the client for your travel and any necessary parts.
Submission » Job » Invoice
Useful for customers shopping for machinery installations (air conditioners, water heaters, water pumps, etc.)
- A client makes a fairly precise request for needs which does not require an evaluation, but requires a quote before proceeding.
- Once the client has approved the submission, you convert it into a Job and schedule the work to be done.
- Once the work is completed, you convert the job into an invoice.
Job » Facture
Useful for simple service calls (unclogging, ventilation cleaning, camera inspection, etc.)
- A client contacts you for a specific service call. You give them the price over the phone and they confirm. You then create the job directly to schedule an employee or team.
- Once the job is completed, you convert the job into an invoice.
